Website & Portal Terms and Conditions:

Introduction

This document defines the terms and conditions under which the Company undertakes to deliver training courses as agreed between the Company and its clients.

Courses

The Company offers courses of varying length.  The duration and content of each course are determined by the Company and will not be modified except to ensure accuracy and relevance.

Venues

Courses are delivered at designated venues or client premises as agreed.  The Company reserves the right to change venues with a minimum of 26 working days’ notice.  If a change of venue is notified then course attendees will have 5 working days to cancel, if they wish to do so, with a full refund limited to fees paid.  If after this time, then the below cancellation rules will apply.

Should a change of venue be due to the venue itself cancelling and thus be beyond the control of the Company, then the Company will undertake to find a venue that is as close as possible to the original and be suitable for the needs of the course.  This does not supersede conditions detailed under Force Majeure.

Payment

All bookings must be accompanied by an official Purchase Order.  A non-refundable deposit of 25% of the course fee is payable at booking.  The balance must be paid no later than 14 calendar days before the course start date. Confirmation and joining instructions will only be issued on receipt of payment.

Cancellations & Substitutions

- All cancellations must be made in writing by an authorised representative.

- Cancellation ≥20 working days before start: deposit retained, any balance refunded.

- Cancellation 10–19 working days before start: 50% of total fee payable.

- Cancellation <10 working days before start or non-attendance: 100% of fee payable.

- Substitutions permitted up to 48 hours before the course subject to £75+VAT admin fee per substitution.

- One transfer to a later course date allowed if requested ≥15 working days before start.  Transfer requests within 14 working days are treated as cancellations.

- The Company reserves the right to cancel or reschedule courses.  In such cases, clients may transfer to another course or receive a full refund. Liability is limited to fees paid.

Data Protection

Personal data is processed in accordance with UK GDPR and the Data Protection Act 2018.  Further details are available in our Privacy Policy, which is available on our website at https://www.synthesysdefencesystems.co.uk/.

Intellectual Property Rights

All intellectual property in training materials remains the sole property of the Company.  Materials may not be copied, reproduced, or distributed without prior consent.

Course Administration

Administrative details are provided upon payment.  Fees cover tuition and course materials only.  Attendees are responsible for travel, accommodation, and subsistence.

Force Majeure

The Company shall not be liable for delays or cancellations caused by circumstances beyond its reasonable control, including but not limited to illness, strikes, pandemics, or other force majeure events.
